Overview:

Title: Operations Support Specialist

SHIFT: 5:30am - 2:00pm Monday through Friday

Location: Dallas, TX (Addison area - in office only)

 

The Operations Support Specialist role is a pivotal position at Catapult, responsible for ensuring smooth and efficient operation of both onsite and virtual clinics taking place daily. THE HOURS FOR THIS ROLE ARE normally 5:30AM - 2:00PM Monday through Friday and the position requires onsite work at our Dallas office in the Addison area. There are days (sometimes several per week) where an earlier start time will be required, due to onsite clinic activity.

 

This role requires a blend of customer support, technical proficiency, extreme dependability and a keen eye for detail to provide seamless assistance to patients, clinic staff and site contacts.

 

How you will make an impact:

  • Monitor the daily onsite clinic slack channel and virtual clinic dashboard to address patient and clinic support needs promptly.
  • Utilize equipment manuals and team resources to troubleshoot equipment error codes as needed, ensuring clinic equipment functions optimally.
  • Track clinic supply and equipment shipped and confirm receipt with site contacts.
  • Work with Onsite Team and Site Contacts from the client when equipment and supply shipments need to be located.
  • Connect Nurse Practitioners with high-risk patients at onsite clinics.
  • Approve onsite clinic patients’ eligibility using information provided by onsite team leads and records in Salesforce, contributing to efficient patient management.
  • Post virtual clinic patients for nurse practitioners to pickup by phone, as needed, ensuring smooth clinic operations.
  • Reach out to available nurse practitioners when there are patients in virtual clinic queue experiencing high wait times.
  • Correct and update demographic information in patient charts as needed.
  • Assist with eligibility checks for patients requesting home kits and onsite checkup appointments.

What you need to be successful:

  • Dependable and reliable to maintain an exceptional attendance record; coming to work on time and understanding the impact missing work or coming in late will have on the business as well as co-workers.
  • Excellent written and verbal communication and customer service skills required for internal and external communication.
  • A self-motivated & self-disciplined individual with a sense of urgency.
  • Quick learner with a capacity to understand how a similar situation might exist and be resolved with a similar solution.
  • Strong emotional intelligence.
  • Flexible schedule to begin a shift earlier than 5:30am, as needed based upon the clinics scheduled.
  • Previous dispatch and/or customer support experience, highly preferred.
  • Basic computer proficiency, required.
  • Familiarity with CRM software (Salesforce) and dashboards is a plus.
  • Healthcare experience with an understanding of clinic operations and patient needs, is a plus.
  • Ability to work independently and in a team environment.
  • Strong organizational skills and attention to detail.
  • Ability and flexibility to adapt to change.
  • Strong critical thinking and problem-solving skills.
  • Ability to multitask and manage time effectively with strong follow-up skills.
