Overview:

Title: Director of Operations

Location: Dallas, TX 

 

The Director of Operations oversees the day-to-day management of Catapult Health’s business operations for our supply chain, scheduling and travel initiatives for the company. The role is a player-coach and requires making operational decisions, setting strategic goals, supervising the team, and being available to provide hands-on support when needed, to support the team. As the Director of Operations, you will wear multiple hats. This role oversees all aspects of the supply chain process, from procurement and inventory management to distribution and warehouse operations. Additionally, this role manages our Operations Planning team responsible for scheduling our field and clinical PRN team members, and the travel required for clinics.

 

The position requires flexibility to work from multiple locations in the DFW area (currently three days in our warehouse location and two days in our office).

How you will make an impact:

Supply Chain

  • Oversee warehouse operations including regular maintenance and facilities management in the supply chain office and other locations where team members pick up and drop off equipment, setting daily and weekly priorities for the team.
  • Lead, mentor, and train a team of Supply Chain Specialists, ensuring an efficient, positive, and productive work environment, optimizing the team schedule, based on business needs.
  • Document processes and create written Standard Operating Procedures, where they do not exist and/or need to be updated.  
  • Creation and oversight of Pick Pack worksheet (or alternative) for the supply chain team in addition to creation and distribution of information ensuring our Team Lead’s have visibility to the equipment and supplies they need for their clinics.
  • Monitor and ensure optimal working order for all equipment used for clinics. Develop quality control process and management for all outbound equipment.\
  • Develop and manage equipment rotation program to ensure all equipment is used regularly.
  • Responsible for managing and assigning supply chain and logistical escalation issues and tasks and following through to resolution.
  • Purchase raw materials and supplies from Catapult’s vendors.
  • Oversee the management and distribution of equipment inventory used for onsite clinics as well as month end inventory counts.
  • Manage and monitor compliance related to all equipment and supplies, including but not limited to: cold-chain and dry good storage protocols, unique and standard state disc/test and supply requirements, equipment control protocols, etc.
  • Evaluate optimal solutions for shipments with cold-chain requirements to ensure timely delivery.
  • Research, evaluate and make recommendations for equipment and supply purchases and updates, working with senior leadership to gain approval from the Medical Advisory Board, as needed before deploying in the field.
  • Ensure company vans receive regular vehicle maintenance and coordinate repairs, as required, with vendors to maintain a safe and well-maintained fleet of vehicles.
  • Attend daily Exceptions Meeting.
  • Optimize and oversee shipment returns processing to evaluate spend, taking into consideration the total spend (replacement cost and resource time required to track, quantify and restock).
  • Maintain strong relationships with vendors and suppliers, ensure the quality of incoming equipment and supplies, and coordinate with vendors/suppliers on quality issues.
  • Utilize and update data stored in CRM tool (currently Salesforce), to plan for clinic and team member needs.
  • Local and national travel, as needed.
  • Provide subject matter expertise for OSHA and other related safety and compliance requirements.

Operations Planning (Scheduling and Travel)

  • In partnership with the Operations Planning Supervisor, create written Standard Operating Procedures to support best practices.
  • Optimize gross margin, where possible, while balancing the travel experience and company spend.
  • Negotiate with vendors, travel agencies, and service providers to secure the best rates and services.
  • Monitor overall travel budgets, expense reports, and ensure compliance with company travel policies.
  • Anticipate and proactively resolve scheduling conflicts, last-minute changes, and travel disruptions.

General

  • Availability to answer escalation questions or concerns before, during and after work hours, including weekends and holidays, as needed. Participate in coverage for after-hours and weekend emergencies.
  • Willingness to manage and perform other duties, as required, in support of Catapult Health’s current and future business requirements.

What you need to be successful:

Essential Knowledge Skills and Competencies:

  • Bachelor’s degree in Business Administration, Supply Chain/Logistics, or equivalent experience.
  • 8+ years’ experience in supply chain, warehouse, logistic or other industry related field
  • 3+ years’ experience managing a supply chain, logistics or workforce planning team.
  • Promotions within an organization to show progression related to level of responsibility and leadership.
  • Quick learner with the ability to handle multiple tasks simultaneously, maintain focus, and adapt to a variety of challenges
  • For insurability and out of the area travel reasons, must possess a valid state driver’s license, have and maintain a clear driving history, and be at least 21 years of age (due to driving company vans or traveling with company equipment in personal vehicles).
  • Strong skill set in identifying and implementing operational efficiencies.
  • Ability to gather data from multiple sources and analyze effectively to support projections for planning, allocation, delivery and operational processes.
  • Proficiency in MS Office, specifically Microsoft Excel.
  • Experience working in CRM systems such as Salesforce.
  • Exhibit strong leadership, interpersonal, and communication skills.
  • Ability to work independently, manage multiple priorities, and thrive in a fast-paced environment.
  • Approachable and level-headed in stressful situations.
